Privacy Policy
Effective October 24, 2026. SoundHeart Counseling LLC, Mat-Su Valley, Alaska.
SoundHeart Counseling LLC ("SoundHeart," "we," "us") respects your privacy. This policy explains what this website collects, why we collect it, how long we keep it, and the choices you have.
What this policy covers
This policy covers soundheart.org, its English and Arabic pages, and the forms and tools on it.
It does not cover clinical records. If you become a counseling client, your health information is handled separately in a secure clinical records system and is protected under applicable federal and state law, including the laws of Alaska and Ohio. You receive our Notice of Privacy Practices and informed consent documents before clinical services begin, and you may request a copy at any time.
Coaching, training, and retreat participants receive a separate written agreement that explains how their information is handled.
Information you choose to share
When you use a form on this site, we receive the details you enter. That may include your name, email address, phone number, preferred contact method, general location, the service you are interested in, your organization or role for training inquiries, and an optional message.
Please do not include health details, diagnoses, medications, or personal history in a website message. Web forms and ordinary email are not designed for sensitive clinical information. We will discuss those matters privately once you are a client.
Appointment requests and the secure contact form
The Request Appointment, Book a Consultation, and secure contact buttons open a window provided by SimplePractice, the secure practice-management system we use for client records. What you enter there goes directly into SimplePractice, not through our website or ordinary email, and is handled under SimplePractice's privacy and security practices. That window may use its own cookies to work. You can also open the same pages directly at soundheart-counseling.clientsecure.me.
How website form submissions are handled
The retreat, training, and Arabic inquiry forms are processed by our own web server and delivered to SoundHeart by email. The server does not save the contents of your message to a database. To prevent spam and abuse, the server briefly records a scrambled, non-reversible version of your network address and the time of your submission. That record is deleted automatically within 24 hours.
We do not add you to any mailing list unless you separately and clearly ask us to.
Newsletter
If you subscribe to the SoundHeart newsletter, your email address, your language, and the page where you signed up are sent to Mailchimp, the email service we use. Mailchimp asks you to confirm by email before anything is sent. We use your address only for the newsletter, never for clinical communication, and we do not sell or share it. Every email has an unsubscribe link, and you can also ask us to delete your address at any time. If Mailchimp is briefly unavailable, your address is held in a private file on our server, outside the public website, until we add it.
Please do not include health information when you subscribe. The newsletter is general education, not care.
The Belonging Quiz and the starting-point guide
Quiz answers and guide selections are processed entirely inside your own browser. They are never sent to SoundHeart, never stored on our servers, and never linked to your identity. When you leave or refresh the page, they are gone.
Information collected automatically
Like nearly all websites, our hosting server keeps standard access logs. These include your network (IP) address, browser type, the pages requested, and the date and time. We use them only to operate the site, diagnose problems, and protect it from attacks. Our hosting provider retains these logs for a limited period under its own policies.
Fonts, images, and scripts are served from our own domain, so loading a page does not send your information to font or content networks.
Cookies and analytics
SoundHeart's own pages do not set cookies. The SimplePractice appointment and contact window, when you open it, may set cookies needed for it to work.
This site does not currently use analytics or advertising trackers. If we add privacy-focused analytics in the future, we will update this policy before it takes effect.
We do not use advertising pixels, session recording, or behavioral targeting on any page.
Booking, payment, and other services
Some buttons and links take you to services operated by other companies, such as our online scheduling and payment system, our secure client portal, video platforms, and messaging apps such as WhatsApp. Information you enter there is handled under that company's own privacy policy and terms. We choose providers whose security is appropriate to the information involved. Payment card details are entered directly with the payment processor and are never received or stored by SoundHeart's website.
How we use information
We use the information you send to
- respond to your inquiry using the contact method you chose
- schedule a consultation or registration
- answer questions about our services, retreats, and training
- operate, secure, and improve this website

We do not sell, rent, or trade personal information. We do not use it for advertising.
When we share information
We share information only
- with service providers who help us operate the practice, such as our hosting, email, scheduling, and payment providers, under obligations to protect it
- when you ask us to
- when the law requires it, such as a valid court order, or when necessary to protect someone from serious and imminent harm
How long we keep it
Inquiry emails that do not lead to services are deleted within 12 months. Information from people who become clients is kept as required by professional and legal record-keeping rules in the state where services were provided.
Security
We protect this website with encrypted connections (HTTPS), strict security settings in the browser, and spam and abuse controls on every form. No method of transmitting or storing information is completely secure, so we cannot guarantee absolute security. Please keep sensitive details out of website messages.
Your choices and rights
You may ask us what inquiry information we hold about you, and ask us to correct or delete it, where the law allows. Email us with your request and we will respond within 30 days. Depending on where you live, you may have additional rights under the privacy laws of your state or country, and we will honor those rights where they apply.

Children
This website is not directed to children under 13, and we do not knowingly collect information from them through it. Services for minors are arranged with a parent or legal guardian.
Changes to this policy
We may update this policy. The effective date above shows when it last changed. Significant changes will be noted on this page.
